Policies and Procedures
for All Programs at ABC Academy
The following policies and procedures are listed on the back of our registration forms,
and apply to all programs as described below, upon signing of the registration form, or competing an online registration.

Registration & Re-Registration: You agree to allow ABC Academy of Music to accept verbal authorization from you, for additional registrations in the future, in person, or by phone in lieu of a signature. By providing payment information by any means for an initial registration, you authorize ABC Academy to bill you for the lessons discussed and consent to our lesson policies and procedures. Student Registration and associated Information is transferrable and assignable.
Payment of Fees and Acceptance of Policies and Procedures: Tuition must be paid by automatic bank account debit or automatic credit card payment. Tuition will be debited from your bank account on the first day of each month from September to June or charged to your credit card the first day of each month. The month of September is non-refundable. Music Together® classes are charged at the time of registration for the first month (or classes remaining in the month) and subsequently at beginning of each month. Credit card or bank debit payments are not accepted for in-person payment on a monthly basis. Payment must be made by pre-authorized automatic monthly payment. All charges will appear on your bank statement or credit card statement as being from ABC Academy of Music.
NSF Payments: You hereby authorize the school to electronically debit my bank account for the amount of any NSF paper cheque or auto-debit transactions plus a $20 NSF fee.
Providing ABC with your payment information by phone, email, in-person, or by any other means indicates acceptance of all policies and procedures herein listed. Attending any ABC lessons or classes indicates acceptance of all policies and procedures herein listed.
Withdrawal and Refunds: Withdrawal may be done in person, or by phone when a real person is reached. Voicemails are not accepted for withdrawals. Withdrawal must be done at the school office, with a person by phone, and not with the teacher.
No withdrawals will be accepted in May or June for any program.
There is a two-month minimum for all music lessons, and tutoring registrations. One-month notice is required to discontinue any lessons/classes at the end of that month must occur within the first 7 days of the month to discontinue in the following month.
There is a 3-month minimum for all Music Together class registrations. There are no withdrawals or refunds for Music Together classes (including Rhythm Kids) after the second week of any season. To withdraw from lessons/classes a parent or adult student must inform school administration in person, at the office or by telephone. Voicemail is not accepted.
All automatic bank debiting or credit card charges will stop after the one-month period notice. Music Together withdrawals must occur within the first two weeks of a new collection of music (collections typically start in October, January, April, and July). No refunds for will be given after this period for Music Together classes. ABC Academy reserves the right to terminate lessons or classes to any students without notice. In such a case, a refund for unused lessons will be given. In the event that a charge is made to a student account in error, ABC Academy will refund the amount within 60 days by returning the amount to the account billed, or by cheque, at the discretion of the director.
Missed Lessons and Make-up Lessons: Guaranteed make-up lessons for student absences will be limited to 2 per teaching year for Lessons and Tutoring.These make-ups will be ‘anytime‘ make-up lessons; for any reason whatsoever with a minimum of 24 hours notice.No make-ups for student absences are guaranteed beyond these.Make-up lessons will be additionally offered for teacher absences, and weather-related cancellations.If students/parents do not confirm or indicate their availability for times when scheduled for make-ups, they may be lost. No make-ups are carried forward from previous academic years. Music Together Class participants may have two make-ups per academic year (September to June) pending space and availability in other classes. ABC may offer live or pre-recorded digital classes in-lieu of in-person make-ups; otherwise no other make-ups are available for Music Together classes. No refunds are given for missed lessons/classes.(School activities such as ski trips or programs, band trips, Spring Breaks that differ from our school’s Spring Break, sports games, etc. do not qualify for make-up lessons.).There are no make-up lessons for group lessons.
Music Together Materials: If a family decides to withdraw from Music Together classes within the period of the first 2 weeks at the beginning of a song-collection semester, materials must be returned in as-new condition. There is a $50 charge for materials not returned or in poor condition when withdrawing within the first 2 weeks.
Rentals: If you are renting equipment or space from ABC Academy of Music, these are not scheduled to end at the end of June or July (for the school year and summer, respectively). You must terminate your rental by returning ABC’s equipment, or ending your tenancy (60 days notice from the first of the month), respectively. Billing will continue until this time.
Students’/Parents’ Responsibility to be aware of Dates and Events:It is the responsibility of the parent or adult student to be aware of all school activities, such as viewing days, recitals, extra lessons, make-up dates, and dates the school is open or closed.This includes lessons around holidays, or on holiday weekends.The school will post all such notices on the “What’s New” board, on our News Blog (website), send notices/email/text messages home, when appropriate.It is the parents’ responsibility to regularly check these media to ensure they are informed.It is the responsibility of the parents or adult student to inform the school of any address or telephone number change.
Extreme Weather or Unexpected Interruption of Classes: If the school must cancel lessons due to extreme weather or events beyond our control such as power outages, the missed lessons will be added on to the end of the teaching year. No refunds for lessons missed due to these reasons will be given. ABC may choose deliver these lessons digitally on the day-of, which will count as a regular lesson day.
Public Health Safety Protocol: In the event of a public health safety situation that calls for minimal interpersonal contact, lessons shall be delivered digitally via internet teleconferencing. All other regular lesson policies apply during this time. Music Together classes shall be transferred to digital delivery and payment shall be due for an entire season, or balance of the season, at the time the change is made. Regular withdrawal policies for Music Together Classes are suspended in this event, registrations become binding within the current season, and no make-ups shall be offered for lessons declined in advance of the end of the normal withdrawal period. All Music Together registrations & billings during these periods are binding for the entire season. It is agreed that students or families choosing to participate in in-person activities waive any claim of liability against ABC for any resulting illness, injury, or death resulting from such participation.
Substitutions: The school reserves the right to provide a substitute teacher if the regularly scheduled teacher is ill or otherwise unable to teach lessons. If a teacher is ill and the school cannot arrange a substitute, any missed lessons will be made up.
Attendance and Lateness: Repeated lateness (or absence) may result in termination of lessons. A minimum attendance level will be required. If a student misses more than 4 lessons or classes without written notices, the school reserves the right to terminate lessons. Students missing more than 4 lessons or classes after January may not be allowed to participate in Recitals.
Care of Students: The school is not responsible for providing before or after class care for students. Parents with students 6 years and under are to remain in the school during lessons. Students are not to be left alone for excessive time before or after class.
Waiver & Disclaimer: Individuals, Parents, Legal Guardians of minor students and Adult Students waive the right to any legal action for any injury sustained on school property resulting from normal lesson activity or any other activity conducted by the students before, during, or after class time. ABC does not provide guarantees for specific results or outcomes.
Media Release: ABC and its business affiliates are hereby granted permission to take photographs and audio-visual recordings of the students in lessons, recitals, online classes, and other school related events to use in brochures, web sites, posters, advertisements and other promotional materials the school creates. Permission is also hereby granted for ABC to copyright such media in its name.
Privacy: ABC Academy of Music does not sell or give personal information to third parties without express consent. ABC Academy will use your personal contact information for:
- Delivering News via phone, email, and mail.
- Reminders of important dates via phone, email, and mail
- Promotions that ABC may run from time to time
- Promotions that ABC may receive from community and business partners from time to time
- Lesson Schedule reminders
- Homework Emails that may contain information about you/your student, and other students of your teacher
The above items are subscribed to by default upon registration. For phone and email communication students may opt out at any time using the methods provided in those systems. For students not wishing to be included in homework emails, please indicate your preference at the time of registration, when asked.
By enrolling in a Music Together class at ABC Academy, a licensed Music Together center, you agree that any information you provide will be shared with Music Together Worldwide (MTW). Policy and Procedure Changes: These Policies and Procedures are subject to change at any time, and the most recent version of them will be posted to our website. All registered parties agree to the terms herein, as well as changes to these policies when posted to the website by signing and/or registering and re-registering by phone.
